Overview

An opportunity to work with one of the UK’s leading television production companies. Based in the heart of Soho, the company are known for delivering high quality scripted dramas and comedies.

Job Outline

To support the CEO in all aspects of their work and personal day, and to be the first point of contact for anyone trying to reach them. To assist the COO with their diary and work with the other assistants to ensure the smooth running of the office.

Key Responsibilities

CEO:

  • Diary management: managing the CEO’s diary; arranging and prioritising meetings, zooms and conference calls, often across different time zones; booking meeting rooms, restaurants and other venues
  • Emails: monitoring the CEO’s inbox, reading all emails, noting any actions, and flagging those that require a response
  • To Do List: creating a daily To Do List for the CEO, prioritising tasks and ensuring all scripts and documents have been read in time for meetings, that viewing material such as rushes, assemblies and edits has been watched and responded to on time, that emails are answered and deadlines are met
  • Research: organising and providing materials or research for meetings
  • Travel: arranging transport and accommodation; booking train tickets, flights, hotels, visas, international travel and itineraries for the CEO
  • Hospitality: arranging lunches or dinners for meetings or events
  • Personal: booking or arranging personal appointments; making space in the diary and protecting the general wellbeing of the CEO
  • Main contact for productions where the CEO is Executive Producer: acting as first point of contact for the production offices; taking responsibility for all documents received; ensuring documents are saved and available for the CEO when needed
  • Talent: supporting key talent with meetings and diaries
  • Company meetings: organising the schedule of regular company meetings
  • Filing and systems: keeping relevant electronic and hard copies of documents; keeping track of talent logs and lists for specific projects
  • Meetings: attending Slate Meetings and following up with the CEO’s actions
  • Expenses: compiling and submitting the CEO’s expenses claims
  • Shopping: buying gifts for talent and staff
  • Events: assisting with company or production events, and other ad hoc tasks

COO:

  • Diary management: assisting the COO with the management of his diary; arranging and prioritising meetings, zooms and conference calls, often across different time zones; booking meeting rooms, restaurants and other venues; working with the Legal and Business Affairs team to arrange meetings and calls
  • Emails: monitoring the COO’s inbox and flagging emails that require a response
  • Travel: arranging transport and accommodation; booking train tickets, flights, hotels, visas, international travel and itineraries for the COO
  • Expenses: ensuring monthly credit card reports and expenses claims are returned
  • Forwarding all relevant invoices to the Finance team for processing, and helping the COO approve payments via online banking

GENERAL:

  • Working with the other assistants to ensure the smooth running of the office
  • Providing cover for the other assistants as required

Skills and attributes:

  • 3+ years personal assistant experience
  • Professional, calm, friendly, organised
  • Excellent communication and interpersonal skills
  • Positive, can-do attitude
  • Proactive, confident and enthusiastic
  • Flexible and able to multi-task
  • Highly proficient in all Microsoft Office programmes, especially Outlook
  • Experienced in both PC and MAC
  • Media experience desirable
  • Keen interest in the TV industry desirable
